1. General terms and conditions

Oliver Vandenbussche is the owner and operator of Bed & Breakfast “OYO”.

The operator may be replaced by a third party, who will be responsible for the daily management.

These Terms and Conditions apply to all guests of Bed & Breakfast “OYO”, located at Hoveniersstraat 46 in Kortrijk.

When entering into a tenancy agreement/reservation, these General Conditions come into force.

On simple request, a copy of these Terms and Conditions will be provided free of charge to guests.

Tenants must have a fixed place of residence or abode and be at least 18 years of age or older.

All risks related to a stay in Bed & Breakfast “OYO” are the responsibility of the guests.

The owner or operator is not liable for damage, loss or theft of property of the guests.

In case of disputes, all (legal) costs are to be borne by the guests.

Guests must immediately report any damage to or loss of movable or immovable property of the owner or operator (and, if applicable, reimburse him).

Guests must follow the instructions of the operator.

The operator can, in case of violation of these terms and conditions and in case of inappropriate behavior, deny guests access to Bed & Breakfast “OYO” with immediate effect, without further notice and stating reasons, and without refund of accommodation costs.

The administration of the operator is decisive without disagreement, unless the guests can prove otherwise.

For all deviations not included in these conditions, the owner decides.

Guests of Bed & Breakfast “OYO” must comply with these terms and conditions and the Internal Regulations.

2. Reservation and confirmation

The rental agreement can be made verbally, by telephone and in writing, or through a request via the web form on our website or via affiliated booking sites.

Upon receipt of your reservation request, Bed & Breakfast “OYO” will send a final confirmation by e-mail. After that the reservation is final for both parties.

The website www.OYOkortrijk.be refers to these General Terms and Conditions.

No extra reservation costs will be charged for reservations at Bed & Breakfast “OYO”.

3. Costs and payment

The accommodation costs in Bed & Breakfast “OYO” must be paid no later than at departure. This should preferably be done by means of current payment cards (Visa, Mastercard, Maestro, American Express, PayPal, Payconiq), by bank transfer in advance, by Vlaanderen Vakantieland cheques, by compensation cheques or, if necessary, in cash (in Euro).

The operator may deviate from these conditions in consultation with the tenant.

When booking for a period of more than 2 days, the operator may ask for a deposit of 40% of the agreed rental price.

For each stay, the Tax on the provision of accommodation of the City of Kortrijk (‘Tourist tax Kortrijk’) will be charged (current rate on website).

If it is found, even after departure, that items have been taken, stolen or damaged by guests, these costs will be charged.

These costs must be reimbursed by the guests within 7 days.

In case of theft or malicious intent, a report will always be made to the police.

If the general smoking ban in our accommodation is violated, a fine of 200 € will be charged.

In case of loss/theft of the key, a fixed amount of 50 € will be charged. If the costs are higher than this amount, a claim will be made to the guest’s family insurance.

4. Cancellation or no-show

In the unlikely event that you are unable to honour the rental agreement that you have entered into, you should notify us as soon as possible so that we can offer the vacant booking to third parties.

In case of cancellation, the hirer shall pay a fee to the operator according to the chosen rate:

For individual bookings:

When booking, you have the choice between flexible or non-refundable rates.

A non-refundable rate is more advantageous but has the consequence, as the name suggests, that you can no longer cancel your stay free of charge.

This is never good news but we can’t bear this for you, we count on your understanding and respect when applying and following these conditions. You can, however, move your reservation free of charge at least 2 days before arrival if the reservation was made directly through us and not through the website of third parties.

The flexible/refundable rates can be cancelled up to 4 days before arrival.

Eg: If you booked a stay and want to cancel in less than 4 days before the date of arrival the whole stay will be charged.

So if you want to cancel for tomorrow, you should have cancelled 3 days ago before 4pm.

Also if you do not come, this stay will be charged.

Refundable rate

  1. Cancellation up to 4 days before arrival 16:00h: no fee will be charged
  2. less than 4 days before arrival or no-show: 100% of the agreed price will be charged.

Non-refundable rate

In case of cancellation at any time or no-show: 100% of the agreed price will be charged.

The amount due is then to be transferred within 14 days to the bank account number of the operator or the payment method indicated at the time of booking.

For group bookings (>2 rooms):

From 2 rooms we speak of a group booking, here other cancellation conditions apply:

– Between 4 and 0 days prior to arrival: 100%.

– Between 8 and 4 days prior to arrival: 50%.

– More than 8 days prior to arrival: 0%.

6. Complaints and disputes

Complaints should be reported to the operator in the first instance, so that a suitable solution can be found immediately to ensure that the rest of your stay proceeds as smoothly as possible.

In the unlikely event that this is not satisfactory, you can send a letter to the operator (see address details above).

The Flemish Tourist Office is the competent authority that grants the licence and where further information can be obtained about the regulations governing the operation of tourist accommodation, the legal remedies generally available in the event of disputes and where the tourist can lodge a complaint.

In case of disputes, only the courts of Kortrijk are competent.

7. Arrival and departure

On arrival you must first report to the operator.

For identification purposes you will be asked to show your passport or identity card.

On the day of arrival you can use the Bed & Breakfast from 4 pm onwards.

On the day of departure the Bed & Breakfast must be vacated by 11h at the latest.

Check-in is possible between 16h and 22h.

Deviations from the above times are only possible after consultation.

In case of late check-out or early check-in a supplement of 35 € or one night will be charged depending on the check-in or check-out time.

No refunds will be made for early departures.

Upon departure, the bill will be drawn up with you.

This includes the cost of the night with breakfast, the additional drinks/food consumed and the Kortrijk Tourist Tax.

8. Breakfast

Breakfast is served in the common room between 7:15 and 9:30. Upon request, breakfast can be served in the room between 7:15 and 9:30.

Breakfast is not always included in the overnight stay, it depends on the chosen rate and is clearly indicated.

In case you are allergic to certain foodstuffs, you should notify the operator at the latest the evening before so that the necessary precautions can be taken and alternatives can be provided.

9. Your stay

Noise pollution, particularly between 10 p.m. and 7 a.m., is not permitted.

Radios, televisions and other sources of noise must not disturb others. The same applies to (too loud) conversations or other activities in the rooms or the common parts.

Use of the Bed & Breakfast by third parties is not permitted.

Visitors may not spend the night in the accommodation without the operator’s permission.

10. Use of the facilities

Use of the facilities is always at your own risk.

Children and young people under the age of 16 may never use the facilities unsupervised and/or unaccompanied. Depending on the booking or package, these facilities may be included or paid for. Please check with the operator in advance for possible supplements.

Guests may use the ground floor terrace between sunrise and sunset provided they respect the privacy of other guests, residents or neighbours.

11. Safety and environment

The accommodation should be kept clean and tidy and should be left tidy.

Garbage should be separated and deposited in the appropriate trash can.

Bed linen and towels are only changed for multi-day stays at the explicit request of our guests.

The first aid kit is located on the ground floor (see pictograms). Small fire extinguishers can be found scattered throughout the accommodation at the appropriate signage.

The presence of suspicious persons is to be reported immediately to the operator.

Pets are not allowed (except with the express permission of the operator an official guide dog).

Smoking and open fires are not allowed due to fire safety.

The bedrooms are suitable for overnight stays of up to two people with the exception of the suite which is suitable for up to 4 people.

The entire accommodation is suitable for sleeping a maximum of ten people.

The accommodation is accessible 24 hours a day during your stay with the key you received at check-in.
